  • Excursions and activities vary and are tailored to the destination and travel style. Examples for Thailand may include SUP, hiking, kayaking, cooking classes, bicycle rides, dance classes, or visiting ancient ruins. Refer to the trip itinerary overview tab for specific activities included in this tour.

  • Yes, a deposit is required to secure your reservation. Automated payments are implemented for each booking. The deposit amount is listed under the Terms & Conditions of the trip itinerary. For the Thailand trip, a $2000 non-refundable deposit is required for land-only reservations. You may pay more than the minimum deposit, but at least this amount is needed to confirm your spot.

  • Pack layers, casual clothing, and comfortable walking or hiking shoes. Check the weather for Thailand before departure to ensure appropriate attire. A personalized packing list will be provided one month prior to departure. For specific packing questions, email karenpipertravel@gmail.com

  • International airfare is not included, as travelers arrive from various locations. We can assist with flight arrangements if you select "YES" and provide your gateway city when booking. If you do not purchase our transportation package, you are expected to meet at the designated hotel unless otherwise stated.

  • We will provide yoga mats for each traveler on the Thailand retreat. Blocks, straps, and blankets are not guaranteed, so we recommend packing any additional props you may need.

  • A list of recommended bars and restaurants will be provided one month prior to departure. Many accommodations in Thailand offer on-site dining for your convenience.

  • The Thailand trip package includes accommodations, transportation between cities, select meals, various wellness activities, and excursions. An English-speaking guide will be provided to enhance and enrich your experience.

  • Breakfast will be included daily. Additional lunches and dinners are included based on the itinerary and available culinary experiences in Thailand. Refer to the day-to-day itinerary for specific meal inclusions. Karen provides a recommended restaurant list for non-included meals, and your local guide can offer suggestions for independent dining.

  • A dietary request and allergy form is provided to all confirmed travelers and must be submitted prior to departure. This information is shared with vendors to accommodate dietary restrictions and requests.

  • The deposit deadline is six months prior to departure (July 31, 2025), unless otherwise stated. I recommend booking supplemental optional tours at the time of registration. Late registrations after this date may be accommodated based on availability, but pricing is subject to change. The final registration cutoff is 90 days prior to departure (October 27, 2025), unless otherwise specified.

  • Consult your family physician or a travel health clinic for the most accurate and up-to-date travel health information for Thailand. Karen Piper travel “Resources” page provides links to travel health information, but these are not a substitute for professional medical advice.

  • The Thailand trip includes the group round-trip airport transfer. We recommend arriving on the same flight as the group based on recommended flight times provided to travelers. Those arriving outside group transfer times can wait at the airport for the group or arrange a private transfer or taxi/Uber independently. Hotel location and check-in times will be shared in advance.

  • Notify your bank of your travel plans to Thailand. Bring some smaller bills until you can withdraw local currency (Thai Baht) at a local ATM. Using a debit card at a bank is the most cost-effective way to access money. While most establishments accept credit cards, having some local currency is recommended.

  • If your flight schedule changes, email karenpipertravel@gmail.com as soon as possible. You will need to arrange your own transfer to meet the group at the hotel and return to the airport independently.

  • If you discover that your bags have not arrived at the destination airport, follow these steps:Step 1: Report Missing Bags ImmediatelyProceed to the airline's baggage claim counter or designated reporting area. Fill out a missing baggage report detailing your flight information, contact details, and a description of the missing luggage (provide as thorough of a description as possible).Step 2: Obtain a File Reference NumberRequest a file reference number from the airline representative handling your case. This number will serve as a unique identifier for your missing baggage and will be crucial for tracking purposes.Step 3: Provide Detailed Baggage InformationProvide the airline with detailed information about your missing bags, including size, color, brand, distinctive features, and any identifying tags or stickers. Share your accommodation details and a contact number where you can be reached for updates.Step 4: Keep Track of Communication and Follow UpRetain all documentation, including the missing baggage report and file reference number provided by the airline. Regularly follow up with the airline's baggage service department using the provided reference number to inquire about the progress in locating your bags. Stay in touch through the communication channels provided by the airline and update them with any changes in your contact information or itinerary.

  • When you book your retreat, you will provide an email address before submitting payment. Once the reservation is confirmed, we will process your deposit with a receipt of payment which will be sent to your email for confirmation.

  • Accommodations vary from retreat to retreat. Karen Piper Travel strives to provide an overall 4 star plus experience and only uses properties that meet brand standards that provide this level of quality.

  • Please make sure you have a valid passport that does not expire for at least 6 months from AFTER your return date. (for example, if you return from your trip on 2/8/2026, the expiration date must be after 8/8/2026) If you need to renewal your passport, please do it at your earliest convenience to ensure it is ready on time.

  • Any pre or post night bookings must be made through Karen Piper Travel and are subject to availability. These reservations must be completed before the final payment date and are 100% non-refundable. Please contact karenpipertravel@gmail.com with the request so we can confirm availability and add this invoice to your account balance.

  • Tips are not included in the tour price, and tipping is entirely at your discretion. A tipping guideline for local guides, drivers, and the tour manager is provided to each traveler one month prior to the departure.

  • Karen Piper Travel Karen Piper Travel, led by group leader Karen Piper, specializes in creating unique travel experiences, including yoga and wellness retreats, with customized itineraries for memorable global adventures. Below is a summarized version of the Terms and Conditions. The terms "we," "us," "our," and "Karen Piper Travel" refer to Karen Piper Travel. "You," "traveler," or "participant" refers to the traveler and their group.

  • CONTRACT
    These Terms and Conditions, along with brochures, correspondence, and supplier terms, form the contract with you. By booking or paying, you accept these Terms, including liability waivers and class action waivers. You must read and understand them, raising any questions before booking. Group leader Karen Piper is responsible for sharing these Terms with all group members and is financially responsible for group bookings. You warrant that you are of legal age, authorized to act for your group, and provide accurate information.

  • Violating these Terms may lead to cancellation, forfeiture of payments, and denial of services.

  • We may update these Terms at any time, effective upon posting on our website. Material changes will be notified. Continued use of services after changes implies consent.

  • Email Karen Piper Travel (karenpipertravel@gmail.com) to book. A non-refundable deposit ($500 for land-only, The deposit confirms your booking, followed by an itinerary and invoice. Full payment is due Oct 31, 2025. Airfare is generally excluded unless specified as inter-trip flights booked by suppliers. Do not book airfare until confirmed. Review all booking details promptly; we are not liable for errors. Late payments may result in cancellation with applicable fees.

  • Names must match passports exactly; provide accurate birth dates and passport details. Errors may incur fees or require new tickets, and you bear all risks and costs.

  • Payments via ACH or major credit cards require authorization. Improper chargebacks (e.g., for non-cancellable bookings or force majeure) may lead to cancellation and cost recovery.

  • Prices may change until confirmed. Supplements may apply for increased supplier costs, taxes, or currency fluctuations. Final payment locks in the price.

  • Accommodations: As per itinerary; special requests are not guaranteed and may incur fees. Hotel standards vary and may not meet U.S. norms (e.g., ADA compliance). Substitutions may occur without refunds.

    Transfers: Included only as specified, with fees. Provide flight details 21 days prior; no refunds for missed transfers.

    Meals: As listed; special diets are not guaranteed.

    Activities: As per itinerary; late arrivals forfeit activities without refunds.

    Itinerary Changes: Insignificant changes may occur due to weather, closures, or other uncontrollable events. Substitutions will be comparable, with no refunds.

  • Airfare (unless specified), baggage fees, visas, passports, insurance, gratuities, personal expenses, and additional taxes/fees are not included.

  • By You: Notify in writing. Non-refundable deposits are forfeited.

    Standard Trips: >120 days (deposit); 120-90 days (40%); 89-60 days (60%); 59-30 days (80%); <30 days (100%).

    By Karen Piper : I may cancel or reschedule for any reason (except force majeure) and offer alternatives or refunds per the above schedule. No refunds for supplier-driven changes or closures.

    No Refunds for Unused Services: No refunds for unused portions of a trip.
